The Clear Customer Balances page provides the ability to adjust the account balance of a group of customer accounts to $0.00.

Clear Customer Balances

1. Select one or more balance types / enter balance range to select accounts with either or both Positive and Negative balances, OR set a balance range using the minimum and maximum fields.


2. Select by School
Options are: All Schools or an individual school.


3. Select Eligibilities / Price Groups by checking the box for those that apply.
Options are: All Free, Reduced, Paid and Non-Student Eligibilities or specific Price Groups within each Eligibility Type.


4. Select by Grade
Options are: All Grades or an individual grade.


5. Select by Homeroom
Options are: All Homerooms or an individual homeroom.


6. Select by Enrollment Status
Options are: Active, Inactive, or Active and Inactive.


7. Click View Report to generate a list of students and their current account balances based on your selection criteria:
8. Optionally, click Print Report to save a copy of the report for your records before adjusting the listed accounts to a Zero balance.


9. When you are ready to adjust the listed student's balances to zero, click Clear Balances to continue.


The Clear Balances window displays the Total Amount of Positive and/or Negative adjustments that will be processed as well as informing you if selected students share a Cafe account. Students sharing a Cafe account with a student on the Clear Balance list will also have their balance zero'd out:
10. Enter Transaction Notes, if desired.


11. Click Continue to apply the adjustments or Cancel to cancel the process.


Once the balances are cleared, the total $ amount of positive and negative adjustments will be confirmed:
12. Click OK to return to the Clear Customer Balances page.
