As determinations are made or changes in application statuses occur, Eligibility Management will automatically queue the appropriate letters to send to households. In the event of a change and no letter is generated, it is because there is no USDA requirement to contact the household. Eligibility Management will automatically place the letter in the correct queue based on the settings of your MealTime system.


The Letter Queue page provides an overview of Letters queued for delivery with a separate tab for email and mail. Letters can be sorted by Type, marked as Sent and are emailed or printed directly from the queue.

Manage Letters in the Queue

1. Click the Email tab or the Mail tab.


2. Select a Queued Date Range or use All Dates.


3. Select an Application Letter Type or use All Letter Types.


4. Select a User or All Users.


5. Select number of letters to Show.


6. Click the View button. Letters will be shown in a list below based on your previous selections:


Email Queued Email Letters

√ Check the box beside the chosen letter(s) and click the Send button.
Or, if you do not want to email the letters but want to mark them as sent, check the box beside the chosen letters and click the Mark Sent button.



Print Queued Mail Letters

Check the box beside the chosen letter(s) and click the Print button.
Or, if you do not want to print the letters but want to mark them as sent, check the box beside the chosen letters and click the Mark Sent button


Note! If you are using an older or lower-powered PC, you may need to reduce the number of letters printed at one time.



View the content of a Queued Letter

1. Click on the Letter in the list you want to view to open the letter in a View window:
Notes can be added to the Notes field. Click the Save button to save the letter with notes.


-> Click the Mark Sent button to mark as sent without printing or sending the Letter.


-> Click the Print button to print the Letter.
